Welcome to Eagle Vision V2.2

Eagle Vision is designed to put all of the basic information for appointments, tasks and contacts at the tip of your stylus.  We have striped away much of the unnecessary information which clutters the system, and laid out a smooth, uniform interface which minimizes screen taps and maximizes functionality.

Eagle Vision uses all of the existing Pocket Outlook data that your system already connects to.  There is no duplicated information, or loss of existing information.  Switch back and forth freely from Pocket Outlook’s modules (‘Calendar’ ‘Tasks’ and ‘Contacts’) and Eagle Vision.  You will find yourself in Eagle Vision more often!

Uniform Data Entry Tools

To maximize the ease of use and consistency, a uniform data entry area and controls are used for the calendar, tasks and contacts.

The top portion of the screen is for editing; when no editing is required the top portion of the screen displays other useful information.

The data entry buttons on the right of the screen.  They are, from top to bottom,

·         Save: (Disk icon w/OK) Saves changes made to record

·         New: (Triangle with asterisk). Create a new record.  New items are initiated from other actions too, often reducing the total number of screen actions.

·         New Selection: (Triangle pointing down)  This is a way to create a new item while on another view.  (Much like the PocketPC 'New' menu.  (Create a new task while viewing the calendar, etc.)

·         Undo: (Reverse arrow) Undo all changes to the active record.

·         Delete: (Red X) Permanently eliminate the selected record

The data entry fields for each type of record represent a subset of all of the available fields used with the Pocket Outlook data.  The fields selected are the most useful, and have been selected to simplify the environment.

·         More/Less Button: (v or ^) This opens up the edit area to allow entry of more detailed information with the item.  (Larger notes box, set private/public/select end date/time of appointment, addresses and more for contacts, etc.)

·         PocketPC Editor (Windows Flag) This button (available only with the 'more' view) opens the standard PocketPC editor.  This provides quick access to 100% of the PocketPC data on the selected item.

Idle Displays

Goals

Everyone must have long range goals.  The upper portion of the screen, which is normally used for data entry, is utilized to display important information while idle.  The standard idle display has a user controlled text box which can be used to enter long range goals, a mission statement, an encouraging phrase, etc.  The text can be edited at any time, and is always displayed. 

Image Viewer

An image viewer is the other part of the idle display.  You can add pictures of your family, pictures of goals, pleasing images, etc.  The pictures are updated by adding any number of picture files to the “Program Files\Eagle Vision\” directory.  The files must be of the format ‘EV_Picture#.bmp’ The pictures must be named sequentially from 1 to max.  The first missing number in the sequence is the end of the sequence, and the display cycles back to ‘EV_Picture1.bmp’.  The pictures must be of the following format: 256 color, 109 by 85 pixels.  Take any picture, and scale and crop it using a paint program such as MSPaint on your desktop PC.  

To cycle through the pictures manually simply tap the picture and the next picture in the sequence will appear.

If desired the pictures can be turned off under the options settings, and a full size goal entry area is used instead.

Agenda and Contact Tracker

Tapping the ‘Home’ icon at the bottom of the screen presents a task view with a simple agenda and contact tracker at the top of the page.  This home view shows all of the basic information you need to make today a success.  This can be selected as the default idle display.  It will be shown in place of the goal and picture viewer.

Touching an item in the agenda list will display the full details of the item.

Calendar

Views

The calendar can be viewed in a variety of formats.  The available views are 1-5 days, a full week, a month (3 week) view, and a future planning calendar.  Change the view by tapping the View Menu, and selecting the view desired.

Display Features

The calendar has a variety of features to help you quickly identify the information.  Today will be shown with a blue border.  A green border designates the separation of the weekend and the work week.  Thick black lines illustrate the change of month.

The appointments on the calendar appear in different colors.  The colors are based upon the category for the appointment.  The colors associated with the various colors are set in the options (see below).

The year is displayed in a small two-digit display to the right of the calendar.

Controls

Scroll Bar

The scroll bar is used to change the focus day.  Tap the arrows of the scroll bar to move by a small increment or touch in the white space to move a full page.  Dragging on the scroll bar presents the ‘go to’ date in the title bar.  This is useful for moving far in advance.

Wait until the display finishes updating before scrolling again.

Today Button

The ‘Go To Today’ button will reset the focus of the calendar to today.

Go To Any Day Button

The ‘Go To Any Day’ button will bring up the date selector and allow you to quickly change the focus to any desired day.  The calendar layout will not change when selecting (day, week, etc.).

Interactive Calendar

The calendar navigation is interactive.  Touching the date "29Mar" on any view of 4 days or more, will automatically zoom into that date.  You can then tap the back arrow to return to the previous display.   Fast zoom in and out.  The month view can zoom to the "single day" view or to the "1 week view."  This is selected in the options.

Display Grid

Touching an open area automatically initiates the creation of a new appointment.  Any view but the month view will preset the time according to the position within the day that was tapped.  It is possible to create a new appointment with the correct time, the category set (leftover from last appointment) and on the correct day by just two taps and writing the subject!

Touching an existing appointment will display it in the edit area.  This allows you to view and make changes to the appointment.  To change the date of the appointment, or to create an appointment on a date that is not in the display, it must be written in the date edit box.

Edit Area

The fields of the appointment are, from top to bottom, the subject, category, and notes.  The fields are not labeled to conserve space.  On the right of the edit area is the date, and time edit area.  To change the time simply tap the appropriate buttons to set the hour, quarter-hour, and AM/PM selection.  To make an "All Day Appointment" simply tap the ‘Day’ button.  You may also write the time directly in the time edit area.

You may select 'Private' and 'Alert' for calendar items.  "Private" hides the details from your companies server, while still showing you all of the details.

Tasks

Views

Tasks can be filtered so you can focus on just what you need.  The views are associated with the ranking of tasks that you chose.  ‘A’ tasks are those with a due date of Today or prior.  ‘B’ tasks have no due date assigned, and ‘F’ tasks are in the future.  In each category of tasks you can further rank the tasks with a priority of  high, medium or low (! - v).  Change the view by tapping the View Menu, and selecting the view desired.

Controls

Column Headers

The Task view can be sorted by tapping the column heading, similar to many list type displays.

Display Grid

Tapping on the task name or category will display the tasks details in the edit area.  Changes can be made if desired.

Taping one of the first 3 columns will update the task.  The first column will flag the task as complete; the 2nd will toggle between ‘A’ and ‘B’ types (due today, or not).   To change to a future due date, this must be accomplished in the edit area.  The priority (HI, Med, low) can be changed by clicking on the third column.

Changes made in the grid do not save to the Pocket Outlook data immediately.  This allows you to make several changes (while ranking tasks for instance) without having to wait for every update to commit to the database before proceedings.  After a brief idle period the display will update automatically.

The fields of the task are, from top to bottom, the subject, category, and notes.  The fields are not labeled to conserve space.  On the right of the edit area is the due date, and priority edit area.  The due date is set with a pop-up date selector control.

You may select 'Private' and 'Alert' for task items.  "Private" hides the details from your companies server, while still showing you all of the details.

Contacts

Views

The contacts can be viewed in a few formats.  The available views are 'Active Contacts' 'All Contacts' and 'Names Only".  Change the view by tapping the View Menu, and selecting the view desired.  The 'All Names Only' will not show the follow up date for the contact, and it will put the first and last names in separate columns.

Display Features

The left column displays the follow up date for a contact (Next).  This is a tool which will aid you in follow up and contact maintenance.  This date is selectable form the edit area.  The information is stored in the "Department" field for standard Outlook.  If this field is already heavily used, then you may need to wait for a later release of Eagle Vision which will allow selection of the field used for tracking.

Controls

Call Button

This creates a new task for the selected contact.  The task will include the basic contact info in the notes, avoiding the need to jump around for information.

Appointment Button

This creates a new calendar appointment for the selected contact.  The appointment will include the basic contact info in the notes, avoiding the need to jump around for information.

Notes Entry

When viewing the notes, a 'Date' button will automatically insert the date and time at the end of the notes and pop up the Input panel.  This allows you to quickly take notes on a contact, and have the information time stamped.

Edit Area

The fields of the contacts are, from top to bottom, the name, company, category, and 'custom'.  The fields are not labeled to conserve space.  On the right of the edit area are several phone numbers.

Press the 'Notes' or 'Addrs' button to display more information for a contact.

Daily Planning

A fantastic feature of Eagle Vision is an automated daily planning process built into the software.  This helps you to plan each day effectively.  This process is similar to many of the popular planning processes.  Select ‘Start Daily Planning’ from the main menu.

Daily Planning Steps

1.        Create Tasks to Prepare for Upcoming Appointments

You are presented with the upcoming agenda, and the ability to quickly add tasks

2.        Create Tasks to Accomplish what is important to you

Your goals and priorities are presented to you, and you can quickly make tasks to work towards what is important

3.        Create Tasks and Appointments for the Contacts needing attention

You are presented with a list of all contacts that have attention due to them based on the follow up date you have entered.  Tasks and appointments can quickly be made from here

4.        Rank and Prioritize Tasks

The pending tasks are presented and you have the ability to adjust priorities, and forward tasks for the future.  You will end up with just those items you want to focus on.

5.        You are now ready to start your well-planned and organized day.

Options

Calendar Options

  • Each appointment is displayed in a color associated with a category.  Un-categorized appointments are shown in black.
  • New Appointments can be defaulted as "Private" on/off and "Alert" on/off
  • When zooming interactive calendar the month can zoom to 1 day instead of 1 week
  • Monday or Sunday can be selected as the first day of the week.
  • Selecting bold font for the calendar is more readable in some situations

Task Options

  • Gridlines can be turned on or off for the task grid.
  • The agenda in the ‘Home’ view can show the upcoming appointments for the next 1 to 7 days.
  • Defaults for new tasks are selected
    • Due today or unscheduled
    • Private
    • Alert On (Only valid for tasks with a due date)
    • Default Priority (HI, Med, low)

Contact Options

  • The gridlines are controlled by the same setting for the tasks.
  • Three fields use custom labels.  The ‘Home Fax’ field is used for your own custom named phone field.
  • The ‘Radio Telephone’ field is used to store a custom field for text input.
  • The ‘Other Address’ field is used to store a custom field for multi line text input.

Other Options

  • Turn on or off the picture display.
  • Select the Agenda (as shown on home view) as the default idle display

Tips and Tricks

Increasing Performance

On your desktop Outlook system, create folders under each of the main folders ‘Tasks’ and ‘Contacts’ called ‘Archive.’  Routinely move all completed tasks to the Tasks\Archive folder, this speeds up the search and display for tasks and contacts.  Do this for contacts as well.  All of these will still be available on your desktop, but will not be synchronized or take up space on your handheld.

Staying Organized

Maintain a minimal number of categories, and use them effectively to stay organized.  It is not necessary to have lots of categories, and multiple use of categories.  Make yourself some basic groups like work, family, and church, and put them to use.  The month view will show you color coded use of your time.  If the 'family' color never shows up on your calendar, then perhaps you should re-evaluate your priorities.
